Turn paper pages into digital files
Scanning records a digital image of a paper document. It can help you keep a reference copy or prepare a file for an online request. Before scanning, check what the recipient accepts. A particular file type, page order or upload-size limit may be required.
Get the pages ready
Put the originals in order and separate unrelated documents. Point out information on both sides of a sheet. Tell the shop if a page is delicate or hard to open flat. Clear originals make small text, stamps and signatures easier to capture. Keep your originals safe after the scan is complete.
Agree on the output
Discuss whether the pages should become one file or several files. Ask about the available file format and any size limit you need to meet. Use simple file names that describe the contents. Searchable text or editable text is a separate requirement, so ask about it rather than assuming every scan includes it.
Review the file before you leave
Open the completed file and check each page for orientation, missing edges, blur and page order. Zoom in on important numbers and small text. If the file is intended for an online portal, check its rules first. Scanning a document does not change its official status or guarantee that a recipient will accept it.
