Print-Ready Document Checklist: What to Check First
By Infinity Point Typing L.L.C · October 16, 2026

Start with the result you need
A little checking before printing can prevent a missing page, an unreadable chart or a report with the wrong order. Start by writing down what you need: the page size, number of copies, colour choice and any finishing. If the document is for a school, office or application, keep the recipient’s instructions beside you while you check it.
Open the final file, not an older draft
Give the finished file a clear name and open that exact version. Check the first page, the last page and every page between them. Look for repeated pages, unwanted blank sheets, missing images and comments that should not appear. If you export to PDF, review the exported file as well as the original. Conversion is another point where a layout can change.
Check size, edges and readability
Confirm the intended paper size in the document settings. Look closely at text, tables and page numbers near the edges. The printer’s printable area may affect borders or content placed too close to the edge. In a PDF print preview, Fit can scale a page while Actual size keeps its original scale. Ask the print shop to check the preview when the dimensions matter.
Decide where colour adds value
A page of plain text may be perfectly useful in black & white. A chart that identifies categories only by colour may lose its meaning. Review the document in greyscale if you are considering black & white printing. Labels and patterns can make a chart clearer. Tell the shop which pages need colour and whether you want the whole set treated the same way.
Confirm pages, sets and sides
For a ten-page document, two copies means two complete sets. Make that distinction clear when ordering. Note any pages you want left out, and confirm single-sided or double-sided output. If a section needs to begin on a new right-hand page, check that before printing. Small details are much easier to correct in the file than after every set is finished.
Plan binding before printing
A binding edge can affect the space available for text. If you want a report bound, ask about the available method and required margin before printing. Check the cover and appendix order too. For a sheet you plan to laminate, confirm the available finished size and whether the document is suitable.
Use a final checklist
- Correct file and version.
- All pages present and in order.
- Correct page size and readable images.
- Colour, copies and printed sides confirmed.
- Finishing requirements agreed.
- Quote and collection time confirmed.
