How to Check a Scanned Document Before Sharing It
By Infinity Point Typing L.L.C · October 16, 2026

A scan needs a review too
A scan can look fine at first glance and still contain an upside-down page, a missing edge or a blurred reference number. Before sharing it, open the saved file and inspect the whole document. This is especially useful when the file will be uploaded to a portal and you may not get an immediate chance to replace it.
Check the recipient’s requirements first
Look for the accepted file type, maximum size and whether several pages should be combined. Some requests need separate files for separate documents. Others ask for one complete file. Do not assume a scan will be accepted simply because you can open it. Use the instructions from the receiving organisation as your starting point.
Compare the scan with the originals
Count the pages and make sure each original appears once. Check both sides when there is information on the reverse. Look at the corners and edges for clipped text, signatures or stamps. Correct the orientation of any sideways or upside-down pages so the recipient does not need to rotate each one while reading.
Zoom in on the details that matter
Check names, dates, small text and reference numbers at a readable zoom level. A scan that is clear when shown as a tiny preview can still be blurry when enlarged. Look for dark shadows, glare and faint sections. Higher resolution can capture more detail, but the right settings also depend on the original, scanner and intended use.
Know the difference between an image and searchable text
A basic scanned PDF contains an image of the page. It may not let you search for a word or select the text. Optical character recognition, or OCR, can add recognised text, but recognition errors still need checking. If searchable or editable output matters, ask for that specifically rather than assuming every scan includes it.
Balance file size with legibility
A file that is too large may not upload. A file compressed too heavily may lose small text and image detail. If you reduce the size, reopen the smaller copy and check the important areas again. Keep the original scan until you know the submitted version is readable and accepted.
Name and share the file carefully
Use a clear file name that helps you identify the document without exposing unnecessary personal information. Check the recipient before sending, and avoid public sharing links for sensitive files. Keep the paper original; a scan is a digital copy and does not by itself replace any requirement to present an original.
